  • Booking Conditions

    1. Part of the property known as Las Costes is offered for holiday rental in four sections (the "Gites") subject to confirmation by the owners RG & YS Galpin ("the Owner") to the renter ("the Client").
    2. To reserve one or more Gite(s), the Client should email or telephone to assess availability. The owner will then hold the holiday for 72 hours whilst he sends out invoice and awaits signed booking form together with payment of the initial non-refundable deposit per gite. Once the booking form & deposit have been received, the Owner will send a confirmation statement. This is the formal acceptance of the booking.
    3. The balance of the rent together with the security deposit (see Clause 5) is payable not less than two months before the start of the rental period. If payment is not received by the due date, the Owner reserves the right to give notice in writing that the reservation is cancelled. The Client will remain liable to pay the balance of the rent unless the Owner is able to re-let the Gite(s). In this event clause 6 of these booking conditions will apply. Reservations made within two months of the start of the rental period require full payment at the time of booking.
    4. Any chargeable expenses arising during the rental period (e.g. meals, bike rental) should be settled locally with the Owner at the time they are incurred.
    5. A security deposit of £200 / 300Euro for each Gite for the rental period is required in case of, e.g., damage to the property or its contents. However, the sum reserved shall not limit the Clients liability to the Owner. The Owner will account to the Client for the security deposit & refund the balance due within two weeks of the end of the rental period.
    6. Subject to clauses 2 & 3 above, in the event of cancellation, refunds of amounts paid will be made if the Owner is able to re-let the Gite(s) but any expenses & losses incurred in so doing will be deducted prior to the refund. The Client is strongly recommended to arrange a comprehensive travel insurance policy (including cancellation cover) & to have full cover for the partys personal belongings, public liability etc., since these are not covered by the Owners insurance.
    7. In the event that guests lose or leave items in the gites, no responsibility will be accepted if the property is not recovered or returned. The Owner cannot accept responsibility for theft either from the gite or at any other time during the holiday.
    8. The rental period shall commence at 4.00pm on the first day & finish on 10.00am on the last day. The Owner shall not be obliged to offer accommodation before the times stated & the Client shall not be entitled to remain in occupation after the time stated.
    9. The maximum number to reside in "La Grive" must not exceed 2, in "Le Merle" & "Le Rossignol" must not exceed 4 & in "L'Hirondelle" must not exceed 6 unless the Owner has given written permission.
    10. The Client agrees to be a considerate tenant & to take good care of the property & leave it in a clean & tidy condition as found on arrival at the end of the rental period. A final clean charge is not included in our prices, the Owner reserves the right to make a retention from the security deposit to cover additional cleaning costs if the Client leaves the property in an unacceptable condition. The Client also agrees not to act in any way which would cause disturbance to those resident in neighbouring properties.
    11. The Client shall report to the Owner without delay any defects in the Gite(s) or breakdown in the equipment, plant, machinery or appliances in the Gite(s), garden or swimming pool & arrangements for repair &/or replacement will be made as soon as possible.
    12. The Owner shall not be liable to the Client for, (a) any temporary defect or stoppage in the supply of public services to the property, nor in respect of any equipment, plant, machinery or appliance in the Gite(s), garden or swimming pool, (b) for any loss, damage or injury which is the result of adverse weather conditions, riot, war, strikes or other matters beyond the control of the Owner, (c) for any loss, damage or inconvenience caused to or suffered by the client if the property shall be destroyed or substantially damaged before the start of the rental period & in any such event, the Owner shall, within seven days of notification to the Client, refund to the Client all sums previously paid in respect of the rental period.
    13. Under no circumstances shall the Owners liability to the Client exceed the amount paid to the Owner for the rental period.
    14. The use of the accommodation & amenities, such as the swimming pool, boules pitch, games room, barbecue, laundry room etc. is entirely at the Clients risk & no responsibility can be accepted by the Owner for any injury or loss or damage to the Client or their visitors & their belongings.
    15. For health and safety reasons smoking is not permitted within the gites.
    16. No matter how much care is taken, holiday gites are not child proof. We will not be held responsible for any accidents occurring within the gites or grounds, it is the parents responsibility to ensure their children are supervised at all times.
    17. The owners make every effort to ensure that the information provided on their website www.holidaysinthelot.co.uk and in any other literature is accurate at the time of publication. They reserve the right to make changes and alterations and you will be informed whenever possible before your booking is confirmed.
    18. These conditions and any contract to which they apply are governed and construed in accordance with English law and are subject to jurisdiction of the courts of England and Wales. All disputes arising from the interpretation, fulfilment or application of this contract will be subject to the jurisdiction of the courts of England and Wales.
